Older Files

In conformity with our records retention schedule, all pupil pockets and transcripts  for individuals graduating prior to 1973 have been reviewed and subsequently destroyed. This action is part of our ongoing effort to manage and maintain our records in compliance with law, while also minimizing security risks and resources spent on ongoing storage of paper records.

Files within Retention (50 year transcript)

In conformity with our records retention schedule, all pupil pockets dated between 1973 and the present have been reviewed and destroyed. Transcripts of students graduating less than fifty (50) years ago are retained until reaching that milestone, in compliance with legal requirements and our commitment to efficient records management.

If you have any questions or need further information regarding the destruction of these records, please do not hesitate to contact at recordsmanagement@philasd.org.

  • We do not accept requests via email, mail, phone or walk-ins.
  • Please note that there is a $5.15 processing fee for each mailing address.

Transcripts

Transcripts are sent electronically. When sending your transcript to a specific school or business, kindly use their contact information instead of providing your own.

  • Minors/Current Students Student records for individuals currently attending a District school are maintained at the respective school. Please reach out to the school directly for access to copies of the student’s records. Please note that only the parent and/or guardian listed on the student’s school record will be granted access to the records.

What is electronic delivery?

Our certified PDFs provide secure record delivery. After ordering, you’ll receive an email with a link from Scribonline. Click the link and within 1-2 hours you will receive a second email with the “Validation Code.” Enter the code to download your document. Each document is sent in a separate email. Save it to your computer for easy access.

The credentials for the received documents can be authenticated by directing the recipient to https://scribsoft.com/verify-credentials.html.

What if the agency, school or employer wants to receive the electronic document directly?

Transcripts are sent electronically. When sending your transcript to a specific school or business, kindly use their contact information instead of providing your own. Do NOT provide your email address anywhere on the order.

My school is part of the Scribbles e-transcript network.What does that mean?

If your college or trade school is part of the Scribbles transcript network, transcripts will automatically be delivered to a pre-set email address that the school has established with ScribOrder. Please check with your educational agency to find out if they are a part of the Scribbles transcript network.

How long do the electronic documents remain accessible?

The timeline and number of views will be outlined in the Certified PDF Student Record Delivery email. Typically, you will be granted a total of 4 views within a 60-day period.

Can I pick up my replacement diploma?

Student records for students currently attending a District school are maintained at the respective school. Please reach out to the school directly for access to copies of the student’s records. Attorneys or legal entities seeking records for a minor or student currently attending a School District of Philadelphia school can direct their requests to our Office of General Counsel by emailing legalservice@philasd.org with “Office of General Counsel – Minor Age Student” in the subject line.

Where can I get my GED records?

We do not hold GED records. Please contact DiplomaSender or the Pennsylvania Department of Education for GED assistance.

Where can I get my 1199c/Adult Center for Literacy records?

We do not hold literacy records. Please contact your literacy program directly.

There is an error on my diploma. How can I get it fixed?

Recent graduates should contact their graduating school directly.

I attended a charter school that is now permanently closed. Where can I access my records?

Pursuant to Pennsylvania law and its charter agreement, Charter Schools maintained their own student records. Below is a list of closed schools that we mayhave a transcript for.If you would like to check if a transcript and/or graduation status was provided to our District upon the closure of the school, please place an order for a transcript. Only unofficial documents will be provided (if available). We are unable to issue replacement diplomas for closed charter schools.
